Duties and Responsibilities

Operational Plan

  • Perform secretarial and administrative duties within the department.
  • Ensure the effective running of the Head of Strategy’s office.
  • Screen and answer calls, manage the diary, and assist with departmental administration.
  • Co-ordinate activities within the Business Unit or department.
  • Sign in and escort visitors for the Head of Strategy and Department.
  • Make travel bookings and plan itineraries for the Head of Strategy.
  • Organize venues for meetings.
  • Co-ordinate all activities associated with the office of the Head of Strategy.

Project Coordination

  • Assist with executing non-complex projects.
  • Prepare all documentation for submission.
  • Liaise with internal and external stakeholders.

Administration

  • Schedule meetings and arrange venues.
  • Maintain attendance registers.
  • Record proceedings and take minutes during departmental and office meetings.
  • Accurately and timely prepare reports.
  • Prepare presentations for special projects.
  • Maintain an accurate filing system as recommended by the SABC File Management Office.
  • Organize and store paperwork and documents in the shared drive.

Stakeholder Management

  • Maintain a professional interface with stakeholders.
  • Attend to telephone and email enquiries.

Qualifications

  • National Diploma or Degree in Administration/Business/Commerce or relevant qualification (NQF6/7).

Experience

  • 2-3 years’ experience in office administration.

Skills and Knowledge

  • Professional and business writing skills.
  • Ability to maintain confidential information.
  • Communication with senior management.
  • Multitasking ability.
  • Excellent telephone skills.
  • Advanced computer skills (MS Word, MS Excel, MS PowerPoint, Email, and Internet).
