This position offers a unique opportunity to play a vital role in managing travel logistics for internal staff, ensuring smooth operations and efficient planning.

Duties and Responsibilities

  • Streamlined Travel Coordination: Efficiently coordinate and plan all aspects of business travel exclusively for internal NACOSA staff, including flights, accommodations, ground transportation, and other travel-related needs.
  • Timely Itinerary Provision: Ensure staff members receive their travel itineraries promptly and provide ongoing support for any queries or concerns.
  • Emergency Preparedness: Develop and implement emergency travel plans, offering assistance to travelers in unforeseen incidents or emergencies, ensuring their safety and well-being.
  • Vendor Relationship Management: Cultivate and maintain strong relationships with vendors and suppliers, negotiating optimal rates and service delivery to benefit NACOSA.
  • Administrative Support: Assist in administrative processes related to procurement requests for travel vendors, including obtaining quotes, generating order numbers, and managing invoices for timely submission to finance.
  • Payment Processing: Prepare accurate payment packs and oversee the timely processing of payments, ensuring seamless transactions and maintaining financial records.
  • Fleet Coordination: Manage fleet vehicle bookings and ensure adherence to fleet protocols, contributing to efficient transportation logistics.
  • Record Keeping: Maintain a meticulous filing system and accurate records of all administrative tasks, ensuring compliance with organizational standards.
  • Special Projects: Undertake irregular, one-time, and special request tasks related to the department’s overall objectives, demonstrating adaptability and initiative.

NACOSA Requirements

  • Matric certificate or equivalent qualification.
  • A qualification (certificate or diploma) in Office/Business Administration will be advantageous.
  • Minimum of 3 years’ experience in an Administrative role with significant responsibility for travel and logistical arrangements.
  • Experience in organizing meetings, functions, and events.
  • Experience working within structured environments in accordance with procedural guidelines.
  • Experience working in the NPO/NGO sector or an understanding of Health Care programs would be highly advantageous.
  • Basic Microsoft Suite Skills (Outlook, PowerPoint, Word, etc.).
  • Previous experience working on Netsuite, Fraxion, or other supply chain systems will be highly advantageous.
  • Valid driver’s license with no endorsements (Code B).
