Duties and Responsibilities

Office Management

  • Establish and maintain good relations with all staff, management, and stakeholders.
  • Plan, organize, and schedule the Regional Operations Manager’s diary.
  • Manage changes, actions, and reminders.
  • Administer all correspondence for noting and approval by the Regional Operations Manager.
  • Coordinate and monitor the office resources to ensure functionality.
  • Effectively handle client complaints and inquiries.
  • Order stationery and necessary consumables for the office.
  • Coordinate meetings with internal and external stakeholders.
  • Manage all office expenses.
  • Provide support to the office of the Regional Operations Manager.
  • Attend to outstanding actions resulting from arranged and/or attended meetings.
  • Coordinate the timely receipt of minutes, meeting agendas, and document packs for meetings.
  • Screen all calls to the office of the Regional Operations Manager and connect or redirect as necessary.

Logistical Arrangements

  • Process information on the system for approval.
  • Arrange and coordinate special events, functions, seminars, conferences, and workshops.
  • Coordinate all logistical arrangements, including flights, car hire, accommodation, etc.

Document Management

  • Prepare and manage documentation in a timely and accurate manner.
  • Manage the filing system for easy retrieval of information and records.
  • Ensure proper management of sensitive documents and information.
  • Process documents in and out of the office of the Regional Operations Manager.
  • Implement an effective document follow-up and tracking system.

Qualifications

  • National Diploma in secretarial/administration or any other equivalent tertiary qualification.

Experience

  • 3 years’ experience as a secretary/administrator or similar role.

Skills and Knowledge

  • General knowledge.
  • Computer literate – Microsoft Office (Excel, Word, and PowerPoint), SAP (preferred but not critical), Internet, etc.
  • Creativity and innovation.
  • Proactive and action-orientated.
  • Establish and maintain good relationships.
  • Good written and verbal communication skills.
  • Attention to detail.
  • Planning and organization.
