The role is crucial in implementing an effective enterprise-wide records and document management system at the national level within the HDA structure.

  • Remuneration: R 13,658.33 per month (all-inclusive package)
  • Period: Six (6) Month Temporary contract position

About the Housing Development Agency (HDA)

The Housing Development Agency is a national public sector development agency established in 2009. Its mandate includes identifying, acquiring, preparing, and developing suitable land for human settlements. The agency collaborates with various stakeholders, including national, provincial, and local government, as well as communities, developers, and financiers.

Duties and Responsibilities

EDRMS Maintenance and Implementation

  • Verify the accuracy and integrity of scanned documents and records.
  • Support the effective management of HDA’s records from creation to disposal.
  • Improve efficiency and ensure the preservation of archives.
  • Assist in scanning and indexing records.
  • Protect records against unauthorized access and alteration.

Document Storage

  • Ensure storage conforms to legal requirements.
  • Control the movement of records.
  • Analyze and report on storage maintenance.

Document Management Process Implementation

  • Identify document content types, controls, and workflow.
  • Plan the organization and movement of records.
  • Develop processes as per approved policies.
  • Ensure effective archiving structure and retrieval of documents.
  • Coordinate off-site archiving and retrieval with storage vendors.
  • Ensure indexing and tracking for complex business, legal, and regulatory purposes.

Administrative Responsibilities

  • Respond to daily requests for information.
  • Retrieve and track files.
  • Manage information location, access controls, and security.
  • Provide advisory services to end-users.
  • Standardize processes/systems within the HDA.

Qualification Requirements

  • Grade 12/Matric
  • Computer Literacy
  • Qualification or one (1) year experience in records and archives management, information management.
  • Knowledge of records management legislative frameworks in South Africa.
  • Knowledge of Electronics Document and Records Management System (EDRMS) is advantageous.
